02

Data we collect

When you use the contact form, we may collect your first and last name, company, business email address, telephone number, service required and the content of your message.

When you submit a job application, we may collect your first and last name, email address, telephone number, role or profession sought, message, CV and, if you choose to provide one, covering letter.

Your telephone number and company name are optional. Other fields marked with an asterisk are required to process your enquiry.

We may also process limited technical data needed to operate and secure the website, including your IP address, browser type, device, date and time of access, and error logs.

03

Purposes and lawful bases

Information submitted through the form is used solely to respond to your enquiry, contact you and, where relevant, prepare a quotation or business relationship.

Information and documents submitted through the Careers page are used to assess your application, communicate with you and arrange any recruitment stages. We assess your application in order to take pre-contractual steps at your request. Limited retention so that we may contact you about a future opportunity is based on EC Groupe’s legitimate interests, to which you may object.

General enquiries are processed on the basis of EC Groupe’s legitimate interest in responding to people who contact us. Where an enquiry concerns a quotation or service, processing is necessary to take pre-contractual steps at your request.

Strictly necessary technical data is processed in EC Groupe’s legitimate interests to secure, maintain and improve the operation of its website.

Optional services, such as Google Maps and any future Google Analytics 4 audience measurement, are enabled only with your consent.

04

Recipients

Contact enquiries are accessible only to authorised EC Groupe personnel who need the information in order to respond.

Job applications are accessible only to authorised personnel involved in recruitment at EC Groupe.

Technical providers may process data on EC Groupe’s behalf strictly within the scope of their services: Vercel for website hosting and temporary private storage of application attachments; Sanity for content management; Resend for delivering enquiries and applications submitted through the forms; Cloudflare for anti-spam protection; and, with your consent, Google for maps and audience measurement.

EC Groupe does not sell or rent your personal data and does not use it for newsletters or automated marketing.

05

Retention periods

Data relating to contact enquiries and prospective customers is retained for three years from collection or from the most recent contact initiated by the individual concerned.

Unsuccessful applications may be retained for up to two years after our last contact so that we can offer future opportunities, unless you object or ask us to erase them.

Files uploaded through the Careers form are stored privately and temporarily only for validation and delivery, then deleted from technical storage once the submission has been processed.

If a contract is entered into, the necessary information is subsequently retained for the statutory periods applicable to the business relationship, accounting obligations and the defence of EC Groupe’s legal rights.

Technical logs are retained only for as long as necessary for website security, diagnostics and operation, in accordance with the relevant providers’ settings.

Your choices concerning optional services and trackers are retained for six months, after which the website will ask you to choose again.

06

Cookies and third-party services

The website stores your privacy choice locally so that you are not asked again on every page. This storage is strictly necessary to respect your decision.

Google Maps remains blocked until you allow external content. Enabling it may allow Google to process technical data and place trackers under its own terms.

Google Analytics 4 may be used to produce website-usage statistics. It will load only after you consent to audience measurement. Google Search Console does not place trackers in your browser through this website.

You can accept, reject or change your choices at any time using the ‘Manage cookies’ link in the footer.

07

Transfers outside the European Economic Area

Some technical providers, including Vercel, Sanity, Resend, Cloudflare and Google, may process data from countries outside the European Economic Area.

Where such transfers take place, they are safeguarded by a mechanism recognised under applicable law, such as an adequacy decision, the EU–US Data Privacy Framework where applicable, or the European Commission’s Standard Contractual Clauses.

08

Your rights

Depending on your circumstances, you may request access to, rectification or erasure of your data, restriction of processing, or data portability. You may also object to processing based on legitimate interests and withdraw consent at any time.

To exercise your rights, email severine.beliard@ec-groupe.com and state your request. EC Groupe will ask for proof of identity only where there is reasonable doubt about your identity.

If, after contacting us, you believe your rights have not been respected, you may lodge a complaint with the French Data Protection Authority (CNIL): https://www.cnil.fr.

09

Data security

EC Groupe implements appropriate technical and organisational measures to protect the confidentiality, integrity and availability of personal data, restrict access to authorised personnel and reduce the risk of loss, alteration or unauthorised access.

As no electronic transmission or storage can be guaranteed completely secure, EC Groupe regularly adapts its measures to changing risks and technology.

Policy updates
